TravMed Cancellation Policy

1. Introduction

We understand that travel and medical plans can sometimes change unexpectedly. To make things clear and avoid any confusion or surprises, we provide a straightforward overview of our cancellation rules. These guidelines are designed to help you understand your options, the timing for cancellations, and any potential fees involved, so you can plan your medical tourism experience with confidence and transparency.

By reviewing and following these rules, you can ensure that all cancellations or changes are handled smoothly, whether they relate to TravMed's coordination services, medical appointments, or travel arrangements. Our goal is to make the cancellation process as simple and predictable as possible while protecting both your interests and those of the medical and travel providers involved.

2. Medical Appointments & Procedures

According to the timing and type of service being canceled:

  • Cancellation within the first week of booking: A 10% fee will be applied. This covers the administrative effort and coordination already undertaken to arrange your services.
  • No-show or same-day cancellation for a consultation: A 20% fee will be charged, reflecting the reserved time with healthcare providers and resources allocated for your appointment.
  • Same-day cancellation for a procedure or surgery: A 50% fee will apply, as this accounts for the significant planning, preparation, and potential disruption to the medical provider's schedule and resources.

These fees help ensure fairness to both patients and the medical providers involved, while encouraging timely communication about any changes to your plans. By understanding these guidelines, patients can make informed decisions and manage their bookings effectively.

3. Serviced Apartments / Medical Stay Residences

Our travel and service cancellation policy is designed to provide clarity and fairness, with fees applied based on the timing of your cancellation relative to your scheduled arrival:

  • Cancellation more than 30 days before arrival: A 10% fee will be charged. This small fee covers initial administrative work and arrangements already made on your behalf.
  • Cancellation within 7 days before arrival: A 30% fee will be applied. This accounts for the preparation and resources already committed by both TravMed and the medical or travel providers.
  • No-show or same-day cancellation: A 50% fee will be charged, reflecting the significant planning, scheduling, and potential disruption caused to the providers and services reserved for you.

These guidelines are intended to ensure transparency, fairness, and predictability for both patients and service providers. By understanding and following this policy, you can make informed decisions about your bookings and avoid unexpected charges.

4. Hotels (International Chains)

Please note that each hotel or accommodation provider has its own cancellation and refund policies, which may differ from TravMed's general rules. To ensure clarity and avoid any misunderstandings, we will provide you with the specific hotel policy at the time of booking. This allows you to make informed decisions regarding your stay and understand any potential fees or requirements associated with cancellations, modifications, or no-shows.

By reviewing these policies in advance, you can plan your travel and medical arrangements with confidence, knowing exactly what to expect from your chosen accommodation.

5. Transportation (Airport & Local Transfers)

For any transportation services arranged through TravMed, including airport pickups, drop-offs, and local transfers, cancellations are subject to the following fees based on the timing of your cancellation:

  • Cancellation within the first week of booking: A 10% fee will be charged. This covers initial administrative arrangements and scheduling efforts.
  • Cancellation within 2 days before arrival: A 50% fee will apply, reflecting the short notice and the potential disruption to driver schedules and service planning.
  • No-show or same-day cancellation: A 100% fee will be charged, as the transportation provider has reserved the vehicle and personnel exclusively for your service.

These rules are designed to provide clarity, fairness, and predictability for both patients and transportation providers. Understanding and following these guidelines ensures smoother planning and reduces the risk of unexpected charges.

6. Flights / Airline Tickets

Please be aware that each airline has its own cancellation, change, and refund policies, which may vary depending on the ticket type, route, and airline regulations. TravMed adheres strictly to the airline's policies and passes these rules on to the passenger at the time of booking.

It is the responsibility of the passenger to review and understand the airline's specific terms regarding cancellations, changes, refunds, or no-shows. By following the airline policy, you can ensure compliance with their requirements and avoid unexpected charges or complications related to your flights.

Important Notes

  • Refunds will be processed to the same payment method used for the original transaction. This ensures a secure and traceable return of funds.
  • Bank transfer fees and currency exchange charges are non-refundable, as these are costs incurred during the transaction process and are outside TravMed's control.
  • Certain medical procedures may be non-refundable, depending on the policies of the hospital or medical provider. Patients are encouraged to review the provider's terms carefully before confirming their booking to understand any restrictions on refunds.

This policy is designed to provide clarity and transparency regarding financial matters, helping patients manage expectations and plan accordingly for their medical tourism experience.
